TRACES

TRACES is the European Commission's own platform for the documents that accompany regulated consignments into the Union. Health entry documents, organic certificates of inspection and deforestation due diligence statements all pass through it, which makes it the single system most Indonesian shipments touch.

The essentials.

What it is: An EU platform carrying sanitary, phytosanitary and other regulated documentation for consignments entering the Union.¹
What passes through it: Common health entry documents for food, plants and animal products, organic certificates of inspection, and EUDR due diligence statements.¹
Who uses it: Operators and authorities on the EU side, along with control bodies abroad where a document originates outside the Union.¹

Who asks for it.

Set at European Union level, so it reads the same in every member state. The authority enforcing it changes at each border, the requirement does not.

What it does not cover.

It is a channel, not an approval
Filing something in TRACES moves a document. It does not make a consignment admissible, and it does not stop the authority examining or refusing it on the substance.
Your Indonesian supplier does not use it
Except where a recognised control body issues an organic certificate, the entries are made on the European side. Expecting a producer in Java to file your paperwork misreads how the system works.

Questions buyers ask.

Do I need an account?

If you are the operator placing goods on the EU market, yes, or your broker acts through theirs. It is worth having your own access rather than being told what was filed, because the record is the evidence trail behind your consignment.

Why does everything seem to go through one system?

Because it was built to. Bringing health, organic and deforestation documentation into a single platform is deliberate, and it means one account covers most of what an Indonesian consignment needs on the European side.
